Convert an invoice PDF to Excel
Turn invoice line items into editable spreadsheet rows for checking, coding or analysis—without retyping the document or uploading it to a conversion server.
Invoice PDFs often contain exactly the data an accounts team needs: supplier, invoice number, item description, quantity, unit price, tax and total. The difficulty is that a PDF stores a visual page, not a dependable spreadsheet table. PDFtoGrid reconstructs rows and columns from selectable text and lets you correct the grid before exporting.
Open the free PDF converterBefore you begin: If the supplier portal offers CSV, XML or an accounting-system export, use that first. PDF extraction is most useful when the PDF is the only structured-looking copy available.
Step-by-step workflow
- Open the invoice and confirm you can select individual words. If the entire page selects as one image, it needs OCR first.
- Open PDFtoGrid and load the invoice. The file is processed locally in your browser.
- Set the page range to the pages containing the line-item table. Skip cover sheets and terms pages.
- Adjust column spacing until description, quantity, unit price, tax and amount occupy separate columns.
- Edit obvious errors directly in the preview, then export XLSX for review or CSV for an import workflow.
Keep line items together
Long descriptions may wrap onto a second visual line. Look for a row that has text in the description column but no quantity or amount. Join it to the preceding description before importing. Do not automatically delete every sparse row: legitimate notes and discounts can also use only one or two columns.
Check tax and totals
Compare the extracted subtotal, tax and grand total with the PDF. If the spreadsheet total differs, inspect bracketed negatives, currency symbols, thousands separators and discount rows. A visually correct table can still contain numbers stored as text.
Prepare for accounting import
Accounting systems usually expect a fixed column order and consistent dates. Rename the exported headings to match your import template, add supplier and invoice-number columns if those details appeared above the table, and save an untouched copy before making transformations.
Questions
Can PDFtoGrid process several invoices at once?
Process each PDF separately. This avoids mixing suppliers and makes it easier to verify each invoice total before combining the rows.
Does it read photographed or scanned invoices?
Not directly. A scan contains pixels rather than selectable text. Run OCR first, then check every amount carefully before importing.
Should I export XLSX or CSV?
Use XLSX for manual review and multiple sheets. Use CSV when another system needs plain rows and columns.
