Extract financial report tables to Excel

Move income statements, balance sheets and note tables into a spreadsheet for analysis while preserving headings, periods and negative values.

Annual reports and management packs often contain clean selectable text but complex layouts. The numbers may extract well while indentation, merged headings and footnote markers do not. The safest workflow treats extraction as a starting point and validates each table against the published total.

Before you begin: Financial figures can affect important decisions. Never rely on an extracted table until periods, units, signs and totals have been checked against the source PDF.

Step-by-step workflow

  1. Identify the exact page range for one statement or note table rather than processing the whole report.
  2. Load those pages and keep separate sheets when different table structures appear.
  3. Adjust column spacing so each reporting period receives its own column.
  4. Edit multi-line headings in the preview and preserve rows for subtotals and totals.
  5. Export XLSX, label the currency and scale, then reconcile key totals with the PDF.

Watch the units

A heading such as “$ millions” may sit far above the table and never enter the extracted grid. Record the currency and scale in a dedicated note or column before analysis. A value of 250 can mean $250, $250,000 or $250 million depending on that heading.

Preserve negative numbers

Reports use minus signs, parentheses and sometimes typographic dashes. After export, confirm that every negative is a numeric value rather than text. Spot-check loss, tax, cash-flow and adjustment lines where signs change the interpretation.

Handle nested headings

A table may have a group heading across several columns and a second row containing years. Rebuild that as one clear header row in Excel. Keep the original wording in notes if abbreviating it would remove accounting meaning.

Can I convert an entire annual report at once?

You can select a broad page range, but extracting one table family at a time produces cleaner sheets and makes verification easier.

Why did footnote numbers become data?

Superscript references are still text positioned near a value. Remove them carefully and keep a note linking the row to the original disclosure.

Can I trust formulas in the exported file?

The export contains extracted values, not the original report's formulas. Add and verify your own formulas after reconciliation.
