The short answer
To convert a PDF table to Excel without uploading it, load a text-based PDF into PDFtoGrid, check the editable preview, adjust column spacing until each column lines up, then download XLSX or CSV. The PDF is parsed by JavaScript in your browser and is not sent to a conversion server.
- Works with text-based PDFs, where you can select individual words. Scanned PDFs need OCR first.
- Lower the column spacing value if two columns merge; raise it if one column splits in two.
- Use the Pages box (for example 2-9 or 1,4,11) to skip covers and terms pages.
- Free, with no signup, page limit or watermark.
Example: A three-line invoice table (Notebooks 3 × 4.50, Folders 2 × 6.00, Pens 5 × 1.20) should export as four columns whose line totals add to 31.50.
Extract PDF tables to Excel without sending your file to a server
Many PDFs store text as positioned characters rather than spreadsheet cells. Even when the page looks like a table, copying it into Excel can merge columns or split descriptions across rows. PDFtoGrid uses text positions to rebuild an editable grid.
This converter reconstructs the table instead of copying it. It reads the position of every character on the page, groups characters that share a baseline into rows, then looks for the vertical channels of whitespace that separate one column from the next. The result is a real grid you can export as an Excel file.
Your PDF is parsed by JavaScript inside this page. No copy is sent anywhere, which matters when the document is an invoice, a payroll run or a client statement.
How to convert PDF to Excel
- Drop your PDF onto the grid above, or use Choose PDF file.
- Check the preview. If a column has landed in the wrong place, drag the Column spacing slider — a lower number splits columns more aggressively, a higher number merges text that sits close together.
- Limit the range in the Pages box if you only need part of the document. Type something like
2-9or1,4,11. - Click any cell to correct it.
- Export with Download XLSX, or take CSV if you are feeding another system.
The longer walkthrough, including what to do with merged cells and multi-line rows, is in the step-by-step guide.
What the converter handles
Bank and card statements
Transaction lists that run over dozens of pages, combined into a single sheet with one header row. See the statement guide.
Invoices and purchase orders
Line items, quantities and totals lifted into columns you can sum, filter and reconcile.
Reports and financial statements
Annual report tables, fund factsheets and regulatory filings where the numbers only exist as a PDF.
Lab and survey data
Instrument output and published result tables, ready for analysis instead of retyping.
Why extraction sometimes gets it wrong
Every PDF table extractor, paid or free, is making an educated guess. Knowing where the guess comes from tells you which knob to turn.
Columns that sit too close together
If the gap between two columns is narrower than the gaps inside a cell — common in dense financial tables — the two columns merge. Lower the column spacing value.
One row spread over two lines
A long description that wraps produces a second row with only one populated cell. The header and footer option is not a row-merging tool. Compare wrapped descriptions with the PDF, correct individual cells in the preview, and combine split rows in Excel after export.
Numbers arriving as text
Currency symbols, thousands separators and trailing minus signs stop Excel treating a value as a number. Select the column after export and use Data → Text to Columns, or a find-and-replace on the symbol.
Nothing appears at all
The PDF may be a scan, or the selected pages may contain no readable text. Try selecting a sentence in your PDF reader and check the page range. If the file contains only images, use OCR first. See our scanned PDF to Excel guide.
Example: turn an invoice table into spreadsheet rows
Suppose a text-based invoice contains the three lines below. After extraction, check that each description, quantity and amount occupies its own column. These are illustrative values, not a claim that every invoice extracts perfectly.
| Item | Quantity | Unit price | Line total |
|---|---|---|---|
| Notebooks | 3 | 4.50 | 13.50 |
| Folders | 2 | 6.00 | 12.00 |
| Pens | 5 | 1.20 | 6.00 |
The line totals add to 31.50 before any tax or delivery charges. Compare this with the source, confirm that numbers are usable as numbers in Excel, and check that a wrapped description has not shifted a price into the wrong row.
Follow the invoice PDF to Excel workflow for line items, or the bank statement extraction guide for dates, debits and credits.
Choose Excel, CSV or Google Sheets
Choose XLSX to open the extracted grid as an Excel workbook. Choose CSV for plain rows and columns that you can import into another application. To use Google Sheets, export a spreadsheet and import it there; uploading that export to Google is a separate step from local PDF conversion.
Working across several pages? Use the multi-page PDF extraction guide to check repeated headings and changes in column layout. For troubleshooting, see how to extract PDF tables and fix merged columns.
What “no file upload” means
The converter reads PDF data on your device and builds the spreadsheet in your browser. It does not send the document to a conversion server. The website still loads fonts, conversion libraries and analytics over the internet. Local file processing does not mean that the page makes no network requests.
Use a trusted device and follow your organisation’s rules for confidential files. See the privacy policy for website data practices.
PDF to Excel questions
Is this PDF to Excel converter free?
Yes. There is no signup, no page limit, no watermark and no paid tier. The converter is funded by advertising on the page.
Do my files get uploaded to a server?
No. The PDF is read and parsed by JavaScript running in your own browser. PDF contents are not uploaded for conversion. An internet connection is needed to load the page and its conversion libraries; third-party assets and analytics may still make network requests.
Can it convert a scanned PDF to Excel?
No. A scanned PDF stores each page as a photograph with no text layer, so there are no characters to read. You would need OCR software first, then run the resulting text-based PDF through this converter.
Why are my columns merged or split in the wrong place?
Column detection works from the horizontal position of each piece of text. If two columns sit close together they can merge, and a wide gap inside one column can split it. Adjust the column spacing slider and the grid rebuilds instantly.
What is the maximum PDF size?
There is no fixed limit. Because everything runs locally, the practical ceiling is your device's memory. Large or complex PDFs can exceed browser resources. Try a smaller document or a limited page range if processing is slow.
